ToolifyNav verdict
Otter is the default when the job is “we talked, I need the text.” Fireflies is the default when the job is “search six months of deals.” Descript is the default when the job is “cut this podcast.” Adopt Otter with one rule written in the team doc: decisions leave Otter the same day. If you will not follow that rule, the cheaper product is a shared Google Doc and a human note-taker. Check recording consent against your school or employer before you let it join every call.
About
About Otter.ai
Otter is the path of least resistance to a transcript. Classes, standups, and small interviews adopt it because nobody has to run a change-management workshop to get words on a page.
The same-day export rule is the whole operating system. If a decision matters, it leaves Otter for the ticket, the CRM, or the doc before dinner. Transcripts that only live here disappear from the organization’s memory the week the semester or the sprint ends.
Fireflies is heavier conversation intelligence. Descript is the editor when you must cut the recording. Notion AI is what happens after a clean note already exists on a wiki page. Otter should not pretend to be those products.
Speaker labels will be wrong on a bad mic. Read the summary before you forward it to a professor or a customer. A confident wrong name in the first line is how these notes lose trust forever. Treat the first week as captioning practice, not as an archive you will quote later.
